V-Architect operates an AI-powered WhatsApp auto-reply service (the "Service") for businesses. This Privacy Policy explains how we collect, use, and protect information when you interact with any business chatbot powered by our platform.

What Data We Collect

When you send a message to a WhatsApp number powered by our Service, we may collect:

• Your WhatsApp phone number — provided automatically by WhatsApp when you initiate a conversation
• Message content — the text you send to the business chatbot
• Conversation history — to maintain context within your active session
• Timestamp — date and time of each message

We do not collect your name, email, location, payment information, or any data beyond the WhatsApp conversation.

How We Use Your Data

Data collected is used solely to:

• Generate an AI-powered reply to your WhatsApp message
• Maintain conversation context during your session
• Notify the business owner when a booking or appointment is confirmed
• Improve response quality over time (aggregated and anonymised)

Data Storage & Retention

Conversation data is stored on a private VPS server. Access is restricted to authorised V-Architect technical staff only.

Conversation logs are retained for a maximum of 90 days and then permanently deleted, unless the business client requests earlier deletion.

Third-Party Services

Our Service uses the following platforms to operate:

• Meta (WhatsApp Business API) — message delivery. Subject to Meta's Privacy Policy.
• AI inference providers (Groq) — used to process message content and generate replies. Data is not retained by these providers beyond the API call.

We do not share your data with any other third parties.

Your Rights

You have the right to:

• Request access to data we hold about you
• Request deletion of your conversation data at any time
• Opt out of the Service by simply not sending messages
